This event (“the Event”) is managed by Jack Morton on behalf of Ford Motor Company UK Limited, (“we” ”us” ”our”). This Privacy Policy will help you understand what personal information we collect through the Event, why we collect it and what we do with it.
Information We Collect, Process and Use
You may give us information about yourself by filling in forms. The information you give may include:
- Name
- Address
- Email address
- Company details
- Phone Number
- Passport details (where required)
- Dietary requirements
- Hotel details
- Next of Kin name and contact information
- Driving License (where required)
- Allergies
- Vaccination status re COVID or Health status confirmation in this respect, where applicable and legally permissible
We process and use this data to create and manage your registration, book your accommodation and transfers, and obtain the necessary access passes for your attendance at the Event.
We may film and photograph participants taking part in the Event and use film footage and photographs of you at the Event for reports and articles about the Event on Ford’s social media accounts, including Ford’s official Twitter and Instagram accounts as well as any other media of Ford and our affiliates’ ('our affiliates' means the group of companies related to us by common control or ownership choosing).
We may also use your details to contact you about similar future events, unless you ask us not to do so.
How We Share Information
In order to complete the registration process and manage your attendance at the Event, we may share personal information obtained with our affiliates, and external service providers (including Jack Morton event management, Jack Morton Travel/ flight booking - and Eventogy/ guest registration system and your hotel).
We may also share personal information obtained through the Event in order to comply with a legal requirement or requests from public authorities; to protect or defend our or another's rights or property; to protect individuals' personal safety; or to detect, prevent, or otherwise address fraud, security, safety or privacy issues.
Where Information is Stored
Your data is stored on servers operated by us and our service providers. These servers may be located outside the European Economic Area (including the USA). Where your personal information is transferred to these countries, we will ensure that your personal information is adequately protected.
Lawful Grounds for Processing Information
There are several lawful grounds on which we may use your information:
- legitimate interest in processing your information for certain purposes, for example; in managing and running the Event and promoting the Ford business, to protect or defend our or another's rights or property; or to detect, prevent, or otherwise address fraud, security, safety, or privacy issues;
